KYT Dental Services Inc. (“KYT,” “we,” “us,” or “our”) operates kytdentalservices.com and the messaging programs described below. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our website, services, or messaging programs, you agree to the practices described here.

Information We Collect

We collect information that you provide directly, information collected automatically when you use our site, and information from your interactions with our team.

  • Contact information — name, phone number, email address, and mailing address you provide when booking, calling, messaging, or registering for a program.
  • Patient information — appointment requests, insurance information, and clinical information necessary to provide dental care. Health information is also governed by our Notice of Privacy Practices under HIPAA.
  • Staff information — for employees and contractors enrolled in our internal notification program: name, role, phone number, and shift/scheduling information.
  • Website usage — pages visited, device and browser information, and analytics data collected through cookies and similar technologies.

How We Use Information

  • To schedule, confirm, and follow up on dental visits.
  • To operate the KYT Rewards program for patients who opt in.
  • To send internal staff notifications (for example, shift coverage and supervisor alerts) for employees who opt in.
  • To respond to inquiries you send through our website, phone, or email.
  • To improve our website, services, and patient experience.
  • To comply with legal and regulatory obligations.

SMS / Text Messaging Programs

KYT operates two text messaging programs powered by Twilio. Each is opt-in and separate from the other.

KYT Rewards (Patients)

  • Messages may include rewards-program updates, point balances, redemption confirmations, and related notifications.
  • You opt in by submitting your mobile number through our website form, an in-office form, or by replying with consent to a KYT-initiated message. You may also be asked to confirm enrollment with a one-time verification message.
  • Message frequency varies based on your activity in the program.
  • Message and data rates may apply.

Staff Notifications (Internal)

  • For KYT employees and contractors only. Messages may include call-out alerts to supervisors, shift coverage requests, and operational notifications.
  • Staff opt in during onboarding or by request to a supervisor.

How to Opt Out or Get Help

  • Reply STOP to any message to unsubscribe. You will receive a confirmation message and no further messages from that program.
  • Reply HELP to any message for assistance, or contact us at support@kytdentalservices.com.
  • If you change or deactivate your mobile number, please notify us so we can update our records.

No Sharing of Mobile Information

No mobile information collected through KYT’s SMS programs — including phone numbers and consent information — will be shared with third parties or affiliates for marketing or promotional purposes. Information is shared only with the service providers (such as Twilio) that we use to deliver messages on our behalf, and only as needed to operate the programs described above.

How We Share Information

We share information only as needed to operate our practice and services:

  • With service providers who support our operations (scheduling, payment processing, hosting, analytics, and SMS delivery). These providers are contractually limited to using information only to perform services for us.
  • With your insurance carrier or other parties when necessary to process claims or coordinate care.
  • When required by law, court order, or to protect the safety of patients, staff, or the public.
  • In connection with a business transaction (such as a merger or sale), subject to the terms of this policy.

We do not sell your personal information.

Data Security

We use reasonable administrative, technical, and physical safeguards to protect the information we hold. No system is perfectly secure, and we cannot guarantee absolute security of information transmitted to or from our website or services.

Your Choices

  • You may opt out of any SMS program at any time by replying STOP.
  • You may request access to or correction of your contact information by emailing support@kytdentalservices.com.
  • Patient health records are governed by our HIPAA Notice of Privacy Practices, available at our office.

Children’s Privacy

Our website and SMS programs are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected such information, please contact us so we can delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Effective” date above. Material changes will be communicated through the website or by other reasonable means.
